Privacy Policy

Last updated: May 13, 2026

This Privacy Policy explains how Resume Pilot collects, uses, stores, and shares information when you use our website, applications, and related services.

1. Scope

This policy applies to the public marketing site, authenticated product areas, resume and cover letter workflows, interview simulation features, contact forms, and related support communications.

2. Information we collect

We collect information in the following categories:

Information you provide directly

  • Account details such as your name, email address, and login credentials or passkey details.
  • Profile details such as avatar images and settings you choose to save.
  • Resume, cover letter, career, and job-search content that you enter, import, upload, or generate through the service.
  • Job descriptions, target roles, interview answers, and related career materials you submit for analysis or generation.
  • Messages you send through the contact form, support channels, or other direct communication.

Information collected when you use the service

  • Basic usage and diagnostic information, such as page visits, feature usage, device and browser metadata, IP-derived region, timestamps, and error or performance logs.
  • Subscription, purchase, and billing state needed to manage access, credits, and payment support. We do not store full payment card details ourselves.

Information from uploads and imports

  • If you upload a resume PDF, the application may extract text from the file in your browser and may use OCR for scanned pages when needed.
  • If you upload an avatar or resume photo, the file is stored through our configured object storage provider.

3. How we use information

We use personal information to:

  • create and manage your account;
  • authenticate you and keep the service secure;
  • provide resume generation, optimization, scoring, cover letter, interview simulation, and career planning features;
  • process uploads, render previews, and export documents;
  • operate subscriptions, credits, purchases, and customer support;
  • send transactional emails such as sign-in, verification, password reset, and service messages;
  • monitor usage, debug issues, and improve performance and product quality;
  • detect misuse, enforce our terms, and comply with legal obligations.

4. AI processing

Some product features send the content you provide, such as resume details, job descriptions, cover letter inputs, and interview context, to AI models or related processing services so those features can work.

We use that information to generate or improve outputs you request. Because these features depend on third-party AI infrastructure, your submitted content may be processed by those providers on our behalf.

5. Cookies and similar technologies

We use cookies and similar local storage technologies to support product functionality, such as authentication, locale preferences, and consent state.

The codebase also supports optional analytics integrations. If analytics is enabled in a deployment, those tools may collect usage information subject to the configuration of that deployment and the policies of the relevant providers.

6. Legal bases and purposes

Depending on your location, we process information because:

  • it is necessary to provide the service you request;
  • it is necessary for our legitimate interests in operating, securing, and improving the service;
  • you gave consent where required; or
  • we need to comply with legal obligations.

7. How we share information

We may share information with:

  • infrastructure, hosting, storage, email, analytics, authentication, and payment providers;
  • AI and processing providers used to deliver generation, scoring, or analysis features;
  • service providers that help us operate, secure, or support the product;
  • legal authorities or counterparties when required by law, to protect rights, or to address abuse or fraud;
  • a buyer or successor in connection with a merger, acquisition, financing, or sale of assets.

We do not sell your personal information in the ordinary meaning of that term.

8. Data retention

We keep information for as long as reasonably necessary to provide the service, maintain your account, comply with legal obligations, resolve disputes, and enforce agreements.

Retention periods may vary depending on the type of data, whether the data is tied to an active account, and whether we need the information for security, accounting, or legal reasons.

9. Security

We use reasonable administrative, technical, and organizational measures designed to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. International processing

Your information may be processed in countries other than the one where you live. Those countries may have different data protection laws than your jurisdiction.

11. Your rights and choices

Depending on your location, you may have rights to:

  • access information we hold about you;
  • request correction or deletion;
  • object to or restrict certain processing;
  • withdraw consent where processing is based on consent;
  • request data portability; or
  • lodge a complaint with a supervisory authority.

You may also update certain profile information directly in your account.

12. Children

The service is not intended for children, and we do not knowingly collect personal information from children in violation of applicable law.

13. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we may update the date above and take additional steps where required.

14. Contact

For privacy questions, please contact us using the contact information or contact workflow made available in the service. Where configured, transactional emails may come from contact@planpai.com.
